Round in Circles is based in Margate. Ideally the Assistant Producer would live within an hour of Margate to attend regular meetings and events, but home working can be negotiated.

Purpose of the post: The Assistant Producer is an efficient administrator, managing the Artistic Director and company diary and working with them on a day-to-day basis to ensure the artistic programme (creation, participation, and performance) is supported to a high standard. The Assistant Producer is ‘the glue’ for the artistic director and the company.

They are also the first point of contact for the company during project development and performance/touring. The Assistant Producer liaises with venues post contract and is Company Manager when required.

Description of responsibilities:

Administration:
- Send contracts with venues and co-producers
- Send contracts for production and company staff
- Act as the key contact for the company post contract stage and follow-up post show
- Undertake general correspondence.

Project management:
- With the Artistic Director plan project timelines and ensure that all activities take place in accordance with schedules
- Attend production and planning meetings and disseminate minutes and actions points, including reporting on updates
- Support AD to deliver reports for funders
- To work with Production/Technical Manager to ensure timely communication with venues about all elements of technical riders and ensure timely communication of schedules to freelance crew
- Keep accurate records/database for programming and marketing.

General Company Management:
- Undertake the administration on all travel arrangements for the Artistic Director and the company, ensuring good quality accommodation is provided and for per diems
- Communicate with Artistic Director and all Company members and relevant personnel of details of tour/performance arrangements in writing.
- Arrange transport of set and costumes to each venue according to a previously agreed itinerary.

Finance:

Work with the Artistic Director to ensure budgets are managed
- Process per diems on behalf of the company when on tour/performing
- Ensure invoice claims are processed and recorded
- Administer and record all company expenses related to touring/performances/projects
- Process invoices for income and expenditure.
- In addition, to undertake any other duty or responsibility which may reasonably be requested by the Artistic Director.

Essential:

- Experience of working directly with artists
- Experience of project management and administration in arts or culture
- Knowledge of performance and combined/interdisciplinary arts
- Excellent organisational, administrative, and problem-solving skills
- Experience of working with budgets and using Excel/GoogleDrive
- Experience of team working and working on own initiative
- Flexible, open, and adaptable, able to work under pressure and manage conflicting priorities
- Strong verbal and written communication skills in person, by phone, email, and social media
- Excellent people skills and ability to communicate with multiple stakeholders and audiences
- Computer literate

Desirable:
- Experience of producing and UK touring in a performing arts environment
- Level 4 qualification in an arts subject or events management
- Applying for event licenses
- Experience of working with venues and in partnership with arts organisations
- Driving licence
- Experience of working with Local Authorities, funding bodies
- Visual eye for Marketing and Communications
- Experience of working with CiC’s/Companies Ltd by Guarantee/Charities
- Experience of Outdoor and Site-specific work
- Experience of using Campaign Monitor or MailChimp.
